To function and perform as an administrator and coordinator for the owner’s association office while ensuring the upkeep of communication and carrying responsible for the daily tasks as outlined by the Head of Department.
Key Responsibilities
- Set an example by reporting to duty punctually wearing business attire according to the hotels dress code & Kempinski grooming standards, maintaining a high standard of personal appearance and hygiene at all times.
- Provide a professional and courteous service at all times and ensure that all employees follow the example.
- Have a knowledge and understanding of all owner’s association.
- Attend to all relevant staff meetings and hotel trainings.
- Ensure that minutes are taken at every meeting and circulated for further communication.
- Schedule and organize internal meetings when and as required during the monthly schedule.
- Ensure to withhold and not to disclose any employee details or administrative communications, personal information or overheard conversations to others.
- Prepare presentations and other documents required for the home owner’s association.
- Work in close relation with all concerned Department Heads.
- Assist operationally when required, especially during operational peaks or seasonal festivities and minimum once a week to ensure the upkeep of knowledge in the various outlets and departments.
- Assist in handling of residence’s complaints. (Owners Association)
- Support the implementation of corporate policies, procedures, guidelines, traditions and initiatives.
- Develops, implements and continually review any services given and to be given to the residences as well as public ideas.
- Manage the support department in view of hotel residence and uniforms services.
- Handle residences complaints professionally, track, filter and issues follow-up with unit owners on and off side.
- Closely coordinates residences availabilities in view to promote activities to unit owners
- Maximize and promotes Ala Carte services.
- Monitors credit policies and audits daily credit report on residences in line with OA rules where needed.
- Closely works with HOA website, update of information for all owners, ensure that the website is live and informative.
- Additional objectives and responsibilities can be added at any time, depending on the need of the business and hotel.
Job Requirements
- Minimum of 1 to 2 years’ experience in a similar position
- Preferably in an international, luxury five-star hotel
- English – excellent communication skills
- Russian speaker is required
