This position is part-time, working 10 hours/week. The position may require filling in at additional times due to staff vacations or illness.
Essential Duties and Responsibilities: 1. Provide assistance to callers and guests; refer and direct them to appropriate person, departments or agencies in a courteous, tactful and professional manner.
Emphasize a customer-friendly, helpful approach in serving callers, guests, and staff.
Use paging system when necessary for routine and emergency alert purposes.
2. Operate copier and other self-service equipment as needed. Refer computer and printer service calls to IT staff.
3. Perform customer service and support services duties as assigned including data entry, meeting room schedule coordination, copier and fax services, and other basic office services. Assist with other projects as assigned.
4. Manage internal postal services by preparing external mail for pickup, receiving and distributing all city mail to departments on a daily basis, and arranging pickup of parcels & contract mailing from multiple city buildings.
5. Accept payments for city fees and products. Work with finance to regularly audit cash drawer and credit card machine.
6. Assist City Hall visitors with kiosk/computer navigation for city services.
7. Perform other duties as assigned and appropriate, including assisting other departments with special projects as time allows.
Minimum Qualifications:
High school diploma or equivalent
1 year related experience with customer service emphasis
Experience handling cash or credit card payments
Computer experience with Microsoft Office and Web-based applications
Ability to understand and speak English clearly
Ability to communicate effectively with people from all cultures and backgrounds in order to achieve the city’s strategic objectives for racial equity.
Ability to handle complaints and concerns of internal and external customers in a tactful and respectful manner
Ability to establish and maintain a good working relationship with staff and the general public
Desired Qualifications:
2 or more years related experience
Associate’s Degree or other related education
Ability to speak or understand other languages, especially Spanish, Russian, or Somali
Experience interacting with multicultural populations
