HR Coordinator

The Position

The person in this role will be critical to the success of the Human Resources Street-to-Seat program as they coordinate all aspects of pre-hire, onboarding, training registration, and special OD initiatives for the city. This role requires the ability to generate trust and sense of belonging with internal and external customers.

The Human Resources Coordinator is responsible for a variety of technical and administrative activities in support of multiple functional areas of human resources. The person in this role serves approximately 600 internal customers and frequently interacts with members of our community.

This is a non-exempt, Management 3 level position. This position requires flexibility in shifting between in-office and remote work. There is one vacancy.

Responsibilities

Depending upon assignment, the incumbent may perform a combination of some or all of the following duties:

Research and provide recommendations on pre-hire processes for the City.

Report and track information of street to seat coordination in open requisitions spreadsheet.

Post job announcements on applicable websites and physical locations. Post positions on the city’s internal web site, as assigned, and update information as needed.

Report, process, and verify results of drug screens, physical screens, background and education checks.

Advise hiring managers to place hiring Personnel Action once contingencies are cleared, schedule new hire first day HR meeting, and send welcome letters to new hires.

Prepare new hire packets and complete new hire first day HR appointments. Verify employment authorization and forward necessary paperwork to payroll.

Process personnel action notices and perform data entry of new hires, rehires, and promotions into the Human Resources Information System (HRIS). Review for accuracy and send new employee number to respective department manager.

Process and verify hiring related paperwork and audit new personnel file records according to state record keeping recommendations.

May oversee work of temporary staff within the Human Resources Department.

Coordinate OD Initiatives within the city.

Update Training Registration system with training classes and external vendor schedule.

Assist the Human Resources Director by performing duties as needed of a complex and sensitive nature.

Process public records requests and personnel file review requests.

Provide reception duties for Human Resources Department to the public and employees by telephone and in person.

Provide excellence in internal and external customer service. Create a positive experience for customers through professional and courteous behavior and creative problem resolution. Focus on producing high quality results.

Ability to travel as necessary to meet the needs of the position.

Qualifications

MINIMUM QUALIFICATIONS:
Associate’s degree in Human Resources, Business Administration or other related coursework.

Two years of general office experience, preferably in a human resources environment.

Or an equivalent combination of education and experience enabling the incumbent to perform the essential functions of the position.

Valid driver’s license and ability to meet the city’s driving standards.

Criminal Justice Information Services (CJIS) fingerprints must be completed and cleared prior to start date. Testing must occur within 30 days of hire to receive the CJIS certification. A passing score is 70%.

Ability to pass reference checks, degree verification check, if applicable, a drug screen, CJIS fingerprinting and satisfy the requirements of a background check.

PREFERRED QUALIFICATIONS:
Bilingual Competency in English and any of the following: Spanish or Arabic or Korean or Vietnamese or Chinese or Russian or Japanese, including speaking, reading and writing.

Experience in a human resources environment.

Compensation

Wage Range: $22.25 – $29.91 hourly

Starting rate will be determined depending on relevant work experience as outlined in the Equal Pay Act. New hires who meet minimum requirements will start at step one. Higher steps may be offered to those who have additional years of directly related experience to the position.

The city pays the full retirement contribution to PERS; provides employees with an opportunity to participate in a deferred compensation retirement plan; makes available a public service loan forgiveness program and tuition reimbursement program; and offers excellent health, dental, vision and life insurance coverage. In addition to the hourly wage, bilingual pay (4% above the base) may be offered, contingent on the candidate passing a proficiency test provided by the city.
