Boeing Ukraine LLC is currently looking for an Administrative Assistant to join our team in Kyiv, Ukraine. The position will ensure the compliant and seamless operation of the facility, working closely with internal business functions as well as external contractors and suppliers.
Position Responsibilities:

- Answer and direct all incoming phone calls, record messages.
- Provide reception, secretarial support, word processing, filing and photocopying services.
- Process and route, regularly throughout the day all mail.
- Ensure that all office equipment is operational; timely arrange for maintenance service.
- Communicate with the building administration regarding permanent/temporary passes to the building, work during off-hours, temporary car passes.
- Routinely contact engineering service of the office building to ensure that all engineering systems are properly maintained.
- Keep track of all the visitors to the office daily. Strictly follow security requirements accepted for the office.
- Set up, prepare and provide hospitality for the conference room during meetings; coordinate conference rooms use.
- Translate/Interpret from English into Ukrainian or vice versa, if requested.
- Keep the photo archive; get photos printed.
- Maintain video and book library.
- Provide travel support to company employees and partners, including visas, rented cars, ground pick up, VIP lounge and other special arrangements.
- Organize and set-up cultural tours for selected visitors upon requests.
- Locate and assemble information for various meetings, reports, briefings, conferences, etc.
- Order stationery for the office.
- Keep first aid medical kits on each floor complete.
- Monitor newspapers subscription.
- Order business cards/holidays postcards/special souvenirs.
- Write simple or repetitive, non-technical correspondence in accordance with a given format.
- Provide secretarial supporting when required.
- Perform other duties as assigned.

Basic Qualifications (Required Skills/Experience):
- Existing authorization to work in Ukraine
- Fluent English is a must
- Fluent Ukrainian/ Russian
Preferred Qualifications (Desired Skills/Experience):
- Bachelor degree is desirable but not a must
Typical Education/Experience:
Education/experience typically acquired through basic education (e.g. High School diploma) and typically 1 or more years’ related work experience or an equivalent combination of education and experience.
Relocation:
This position does not offer relocation. Candidates must live in the immediate area or relocate at their own expense.
