Job Summary
The successful candidate will be working as part of a team to provide a high level of services to students and faculty in the Departments of Germanic Languages and Literatures (GLL) and Slavic Language and Literatures (SLL). Faculty and student in both departments study the literature, languages, cinema, architecture, history and the visual/media arts. GLL offers instruction in the languages, literatures, and cultures of German, Scandinavian, and Dutch. SLL offers instruction in the languages, literatures, and cultures of Eastern Europe, including Russian, Polish, Czech, Ukrainian, and Bosnian-Croatian-Serbian.
The position will primarily provide undergraduate student services and general administrative support for both units with back up support responsibility for graduate student services. Responsibilities*
The Undergraduate Student Services Coordinator’s primary responsibilities are to support all aspects of our undergraduate programs and departments curriculum, which include, but are not limited to:
Curriculum Planning and Enrollment Management: In conjunction with the departments’ Curriculum Committees and Assistant Manager, manage all administrative aspects of the undergraduate curriculum and enrollment. This position will collect and organize faculty teaching preferences and enter the time schedule in Wolverine Access; request and update course descriptions; monitor course enrollments and waitlist, making recommendations for action; obtain syllabi from faculty each term, upload in Syllabi Archive; order, download and distribute appropriately course evaluations; process overrides; schedule and update classroom reservations; enter major and minor declarations; coordinate Term III: process applications, coordinate promotion efforts to increase enrollments and offerings; coordinate placement exams, send placement letters to incoming students; coordinate independent study proposal request process; manage the Course Approval Request Form submission process for any curriculum changes approved by the department’s Curriculum Committee.
Scholarship Award Coordination: Monitor/audit scholarship applications and awards; coordinate, create and disseminate scholarship award letters, coordinate international travel requirements with CGIS for all students traveling abroad.
Program Coordination and Marketing: Communicate undergraduate programs and events via email, Facebook, Twitter and website as appropriate and needed; review and update undergraduate website pages on a regular cycle; create and execute marketing plan to promote undergraduate classes and increase enrollments; assist departmental undergraduate advisors with outreach and communication to potential majors/minors through high school visits, contacts with high school teachers, and the Major/Mino Expo and Festifall.
Max Kade Program Liaison (Michigan Learning Community): Coordinate recruitment, reapplication and application processes. Act as liaison between GLL, Housing, Max Kade RA, students residing in the residence, faculty director and other MLC’s. Develop marketing materials and a strategy for increasing resident numbers. Plan and coordinate various student events. Plan and coordinate annual study tour with faculty director. Attend monthly MLC meetings. Coordinate scholarship competition. Assist Housing in hiring and supervising RA. Hire and supervise student assistant to the RA.
General Administration: Provide back-up receptionist and administrative coverage for SLL Executive Secretary. Greet visitors, assist students with walk-in questions and respond to email inquiries regarding undergraduate majors and minors. Provide back-up graduate student services support for German and Slavic Departments. Actively participate in LUGS. Draft and update undergraduate student services policies and procedures. Reconcile Pcard per department and LSA protocals meeting monthly deadlines. Plays a significant role in our departments’ diversity, equity, and inclusion efforts.
Required Qualifications*
An associate degree or equivalent with four or more years of progressively responsible administrative experience required, preferably in student services and/or an academic environment. Candidate must have excellent interpersonal, written and oral communication skills and be highly motivated to provide superior customer service. Proven ability to maintain the strictest level of confidentiality is required. The successful candidate will be a self-starter, with demonstrated initiative to creatively problem solve, determine solutions and ascertain resources. A highly motivated administrator with outstanding organizational skills and the ability to set priorities and balance multiple projects simultaneously is required. A high degree of attention to detail and accuracy is absolutely essential. We are seeking a highly motivated individual with demonstrated commitment to be part of our team, create a positive work environment, and work independently with minimal supervision.
Because much of this work now moves through digital environments, we require a high level of proficiency with information technology applications. We seek expertise in all Microsoft Suite software, Adobe Acrobat, Google applications, web editing, Zoom, and demonstrated motivation to find and use new software to enhance our major projects.
This job requires the ability to move materials up to 20 pounds to a height of 3-4 feet and set them on tables, carts, or other surfaces.
Desired Qualifications*
A Bachelor’s degree with at least 4-5 years of experience in student services administration at the University of Michigan is highly preferred. Prior experience with Wolverine Access, specifically in the student services module is highly preferred. A candidate with at least two years’ experience in Adobe InDesign or PhotoShop creating promotional materials is highly desired as well as proven ability utilizing social media and building a following amongst undergraduate students. The chosen candidate should possess a high degree of proven proficiency in MS Word and Excel as well as Google Docs, Spreadsheets and Forms. Demonstrated problem solving skills is a valuable asset for this position. Ability to produce original documents of high quality (organizationally and content-wise) are extremely valuable for this position. Considerable knowledge of U-M and LSA academic policies and procedures is strongly preferred. We are seeking a candidate who supports the mission of education in general but the German and Slavic Departments specifically.
