AWARE Pantry Coordinator
Hiring Salary Range: $16.30 – $19.15
- This is a regular, full-time position that begins as soon as possible and is expected to last one year. The person in this position will work 40 hours a week for the first year. After that, it is anticipated that this position will work 32 hours each week.

Marion Polk Food Share is the regional food bank serving Marion and Polk Counties. Support from our local community makes it possible for the Food Share to collect and distribute nutritious food for children, adults, and seniors through more than 100 partner programs, including food pantries, meal sites and home-delivered meals and to carry out programs to address the root causes of hunger.

Statement of Purpose:
To provide excellent service to clients, volunteers and all community members that come to Iskam AWARE.
Summary of Role:
The Pantry Coordinator is responsible for coordinating food pantry operations of the AWARE food pantry in Woodburn, Oregon, in collaboration with the Pantry Manager. The Coordinator will also coordinate volunteers, provide office support, and understand and address client needs with an equity lense.
Core Areas of Responsibility
- Food Pantry Services: Assists the Pantry Manager with the oversight of all essential functions of AWEARE, including food procurement, inventory management and pantry distribution. Also provides clerical and administrative support to pantry.
- Volunteer Coordination: Supervises and supports a diverse range of volunteers that fulfill a variety of roles at the food pantry.
- Woodburn Community Outreach: Serves as a Food Share representative in the Woodburn community. Attends and participates in community events that increase awareness of, and support for, AWARE.
**This position has no staff supervisory responsibilities but does provide leadership, guidance, and training to volunteers.
Areas of Responsibility, Evaluation and Essential Functions:
Food Pantry Services: Assists the Pantry Manager with the oversight of all essential functions of the food or mobile pantry, including food procurement, inventory management and pantry distribution.
- Serves as on-site lead when Pantry Manager is away or in meetings.
- Co-manages food or mobile pantry operations with Pantry Manager, including tracking pantry inventory, ordering food, and overseeing distribution.
- Provides excellent customer service using an equity lense while coordinating the reception area, answering phones, and conducting client intakes.
- Handles client information in a professional, confidential manner.
- Works with Marion Polk Food Share to implement food pantry best practices, including health pantry and client choice initiates. Emphasizes good nutrition and healthy lifestyles.
- Coordinates pick-up of food from local retail partners and submits data for the program.
- As needed, drives company vehicle or personal vehicle for food pick-up or distribution. Travel may include up to a 60-minute drive, one way.
- Reports, in a timely manner, all necessary service data to Marion Polk Food Share or other entities. Keeps accurate and secure records utilizing Link2Feed, Volgistics and other database software.
- Collaborates with Pantry Manager to ensure needs of the pantry are communicated with Food Share staff.
- Keeps accurate and secure records of donations and food received.
- Helps maintain a clean, safe warehouse.
- Maintains knowledge of current contractual parameters. Including adherence to all applicable food safety and civil rights regulations. Other contract or regulatory authorities include USDA and the Oregon Health Authority.
- Provides administrative and clerical support for the pantry.
Volunteer Coordination:
- Supervises and supports a diverse range of volunteers that fulfill a variety of roles at the food pantry. Provides clear direction, resolves conflict, and provides volunteer recognition.
- Assists in maintaining accurate records of volunteer hours.
- In collaboration with the Food Share’s Volunteer & Vocational Program Manager, provides support in recruiting, training, and coordinating food pantry volunteers to fill volunteer gaps.
- Conducts volunteer orientations and training in civil rights and food safety.
Community Outreach:
- Makes client referrals to other community organizations or resources as needed
- With a high degree of professionalism, serves as a representative of the food pantry and Marion Polk Food Share at community events or meetings as needed.
- Supports outreach activities regarding pantry services which could include updating a monthly activity calendar, posting on pantry’s Facebook page, or updating community resource providers.
- Help maintain good, collaborative community partnerships with local organizations. Communicates with colleagues around partnership activity.
- Keeps knowledgeable about local issues and organizations.

The Food Share provides essential services to our neighbors in Marion and Polk counties. As a result, all Food Share employees may be asked to report to work during local public health, weather, or other environmental emergencies.
. Requirements:
Education and/or Experience; Certificates, /Licenses/Registrations:
- High School Diploma or GED required. Some college preferred.
- Minimum of one year experience in the nonprofit sector, social services, customer service, volunteer coordination, food warehousing or retail, or program coordination required.
- Minimum of basic skills in Microsoft Office Suite, including Word, Excel, Outlook and comfortable using the internet.
- Prior experience providing excellent customer service.
- Prior food safety experience a plus, or be willing to learn skills in food safety and obtain a Food Handlers’ and ServSafe Certifications once on the job.
- Must have valid driver’s license, insurance and pass driver background check.
- Must pass pre-employment drug screen and full background check.
- Familiarity with farmworker/Latinx community and/or Woodburn area highly preferred.
Necessary Knowledge, Skills and Abilities:
- Experience working alongside, supporting and serving diverse populations, which could include farmworkers, Latinx, Russian and indigenous communities, seniors, families with children, and more. Familiarity with local community preferred.
- Able to work well under pressure with frequent interruptions and shifting priorities and exercise sound judgement daily. Demonstrated follow through skills.
- Demonstrated skills and commitment to quality, timeliness, flexibility, efficiency, and effectiveness.
- Spanish language skills preferred. A 5% bilingual differential is available upon successful completion of a bilingual exam.
- Flexibility in work schedule. Nights, weekends, and shifting schedule are possible.
- Strong organization skills with attention to detail. Examples include record/data tracking, using software to track data, timely and accurate communication.
- Excellent customer service and interpersonal skills both on the phone and in person
- Ability to learn new software systems and support others (i.e. volunteer or client data tracking software)
- Must possess basic math skills.
- Ability to work independently and as a part of a team of volunteers and staff.

Job Conditions:
Work may be performed at a workstation and in a warehouse/store environment. May frequently lift, move, and carry objects in excess of 50 pounds. Work could require driving a variety of vehicles including cargo vans, box trucks, and forklift. Work is subject to varying indoor and outdoor temperatures and road and walkway surface in all seasons. May work or travel out of the local area and work outside normal working hours, such as evenings and weekends, as needed. Work more than 40 hours per week may occasionally be required.
