Nonviolent Peaceforce (NP) is a dynamic, international non-governmental organisation. We work with people affected by violent conflicts to enhance their security and dignity through Unarmed Civilian Protection (UCP). We work to reduce violence, protect civilians in countries affected by violent conflict and its aftermath, and help transform the world’s response to conflict situations.
OVERVIEW:
NP has had a sustained presence in Ukraine since April 2022, occupying a unique space in the protection response in Ukraine; simultaneously providing direct protection to at-risk civilians and providing hands-on support to front-line volunteer collectives to directly contribute to the sustainability and safety of their actions. NP has its Country Office in Odesa with sub-offices and field teams in Odesa, Mykolaiv, Kherson, Kharkiv and Kramatorsk. The Operations Department includes Logistics, Procurement, and Administration located in the Country Office. A Safety and Security Manager and Safety and Security Officer support all NPs safety and security.
JOB SUMMARY:
The Finance Assistance (FA) is responsible for supporting NP’s financial and administration management. The FA is responsible for ensuring that financial documents are complete as per NP’s financial and procurement policy and the documents are properly filed. The FA will be responsible for preparation of the documents of original entry and make payments as requested by the Senior Finance Officer. FA is responsible for the completeness of documents and their archiving in the form of hard and soft copies.
KEY RESPONSIBILITIES:
Receipt of supplier invoice & payment process
- Initial check of PR package before payment: PR, PO, PD approved, contract, and invoice, bid-analysis (for material purchase) or transfer request (for program payment);
- Review invoices for accuracy and proper approval;
- Preparation PD as per allocation of duties inside of department;
- Preparation of Cash Payments in online banking platform – check all beneficiary bank details, put location in payment description;
- Print payment proof and statement to amend the finance package;
Financial document review and Filing
- Assist with audit preparation and financial reporting, identifying correct vouchers for review and scanning as required;
- Control of receiving SCN/GRN form suppliers after payment made, provide these documents to outsourcing company for conduction local accounting;
- Closing of Purchase Requests (Ensure that all PRs are complete with all supporting documentation (approval notes, goods received notes, contracts, invoices, receipts etc.) as per NP financial and procurement procedures, and are reviewed and approved by the appropriate personnel and copies of all records are filed in the correct grant files and in the correct sequence for ease of reference;
- Contact with vendors and request missing supporting documents (Service completion note, Goods receipt note, acts, originals of invoices etc);
- Follow-up with Field Programme Officers on any missing or incomplete documents;
- Cross check all NP ledgers against hard documents;
- Archiving documents in both – soft and hard copies with creating register;
- Participate in professional development activities, as needed or requested;
- Perform other duties, as needed and/or requested by the supervisor.
QUALIFICATIONS:
- Relevant university degree in accounting, business administration or other related field;
- Preferably two or more years of relevant experience with an international NGO;
- Commitment to the humanitarian principles (humanity, neutrality, impartiality and independence) and the work of Nonviolent Peaceforce.

- Strong computer skills in MS Office programs, particularly Excel;
- Skills in accounting.
