We are inviting you to apply for the role of Order Management – Assistant Manager – English – hybrid Iasi
Responsibilities
Customer & Order Management
- Supervise the complete order lifecycle, ensuring accuracy and timeliness from order receipt to delivery and invoicing.
- Serve as the escalation point for customer complaints, delivery issues, or order discrepancies.
- Monitor customer satisfaction metrics and implement corrective actions when needed.
- Ensure compliance with customer-specific requirements, contracts, and service level agreements (SLAs).
- Coordinate with customer service teams to ensure consistent communication and service quality.
Reporting & Documentation
- Develop and maintain dashboards to track order status, fulfillment rates, and backlog trends.
- Analyze order patterns and provide insights to support demand planning and inventory management.
- Prepare monthly and quarterly business review reports for internal and external stakeholders.
- Ensure documentation aligns with internal audit and regulatory compliance standards.
- Maintain SOPs (Standard Operating Procedures) and ensure they are up to date.
Cross-functional Support
- Liaise with Supply Chain, Procurement, and Production teams to align order fulfillment with inventory and manufacturing schedules.
- Collaborate with IT to support ERP/system enhancements, testing, and troubleshooting.
- Support Finance in resolving billing, credit, and payment issues related to orders.
- Participate in cross-functional projects such as system migrations, new market entries, or product launches.
- Ensure alignment between commercial teams and operations on order priorities and constraints.
Team Collaboration & Training
- Mentor and support junior team members, fostering a culture of accountability and continuous learning.
- Conduct regular team meetings to review performance, share updates, and align on goals.
- Identify training needs and organize workshops or knowledge-sharing sessions.
- Promote a collaborative environment that encourages feedback and innovation.
- Support workforce planning and resource allocation during peak periods or special projects.
Process Improvement & Innovation
- Lead initiatives to streamline order processing workflows and reduce manual interventions.
- Identify automation opportunities (e.g., EDI, RPA) to improve efficiency and accuracy.
- Monitor industry trends and benchmark best practices to enhance operational excellence.
- Implement feedback loops to capture lessons learned and drive continuous improvement.
- Collaborate with digital transformation teams to pilot and scale new tools or platforms.
Management & Leadership
- Strategic Oversight: Support the Order Management Manager in defining team goals, KPIs, and strategic initiatives aligned with broader business objectives.
- Performance Management: Monitor team performance, conduct regular reviews, and provide constructive feedback to ensure high productivity and service quality.
- Resource Planning: Assist in workforce planning, including shift scheduling, workload balancing, and capacity forecasting.
- Risk Management: Identify potential risks in the order-to-cash process and implement mitigation strategies.
- Compliance & Governance: Ensure adherence to internal policies, SOX controls, and external regulatory requirements.
- Stakeholder Communication: Represent the order management function in leadership meetings, project updates, and cross-functional reviews.
- Crisis Management: Lead the team during high-pressure situations such as system outages, product recalls, or supply chain disruptions.
- Change Management: Support the implementation of new systems, tools, or processes by managing communication, training, and adoption within the team.
Qualifications we seek in you!
Minimum Qualifications
- University degree required (preferably in Economics, Business, Supply Chain Management, or related fields)
- Advanced proficiency in English (C1)
- Extensive experience with SAP (SD/MM modules) and advanced Excel (pivot tables, macros, data analysis)
- High level of people management skills due to the variety of collaboration partners across internal and external stakeholders
- Experience in Order-to-Cash (OTC), Order Management, Supply Chain, or Logistics, with demonstrated ownership of complex processes.
Preferred Qualifications
- Experience leading cross-functional projects or initiatives in a multinational or matrixed environment.
- Strong analytical and problem-solving skills, with the ability to interpret data and drive strategic decisions.
- Proven track record of process optimization, automation, or digital transformation in order management.
- High level of people management skills due to the variety of collaboration partners across internal and external stakeholders
- Excellent stakeholder management and influencing skills across business units and geographies.
