The Enrollment Services Associate is responsible for providing excellent customer service to all Clover Park Technical College students, faculty, staff and visitors. The successful candidate supports the College’s mission of Educating Tomorrow’s Workforce by enrolling students in college programs, assisting students modify their class schedules, reviewing their transcripts and other placement measures for entrance requirements, and answering inquiries via telephone, email, in-person, and other approved communication/service channels following CPTC’s policies and procedures as they relate to Enrollment Services.
The Enrollment Services Associate is an overtime-eligible, full-time position.
This has been designated as a bargaining unit position represented by Clover Park Federation of Classified Employees Local 4789.
Duties and Tasks (Essential Functions)
Perform admission, registration and financial aid processes
Process admission applications.
Assist with quarterly registration processes.
Answer inquiries regarding admission, registration, and other college services and processes via telephone, email, in-person, or other approved communication/service channels.
Process transcript requests.
Process enrollment verifications.
Contact students who are short of completion.
Process class cancellations.
Perform basic functions of credentials/awarding requirements and processes; i.e. review and setting placement scores using multiple measures, assist in printing/mailing of awards, etc.
Enter student data into the Student Management System and review transactions for accuracy.
Learn and maintain a working knowledge of college and website services, resources, and tools to assist students; i.e. how to navigate the financial aid student portal, how to obtain required forms, and explaining processes and procedures.
Provide excellent customer service following CPTC C.A.R.E.S./Student Experience to all stakeholders.
Assist in department engagement and retention efforts
Participate and assist in the development and implementation of engagement and retention efforts.
Participate and assist in the development and implementation of departmental and divisional goals.
Participate and assist in active retention efforts, divisional goals, and other activities and projects; i.e. group/lab registration.
Systems audits, program and student aid requirements
Perform regular daily system audits related to student admission and enrollment.
Learn and maintain a working knowledge of CPTC college programs, program entry requirements, and course requisites.
Learn and maintain a working knowledge of basic college services and resources in order to assist students; i.e. financial aid portal, emergency grants, child care, transportation, etc.
Participate in ctcLink (PeopleSoft) training and assist in data clean-up for implementation, data accuracy, and system functionality.
Learn and perform admission and enrollment functions using the PeopleSoft system.
Professional Development
Maintain knowledge of FERPA (Family Education Rights & Privacy Act).
Participate in on-campus training as scheduled.
Attend conferences as funding allows and as requested by supervisor.
Serve on campus committees as assigned.
Maintain knowledge of federal and state funding rules and requirements.
Other duties as assigned may include, but are not limited to:
Cover college telephonic system.
Assist in quarterly drop for non-payment processes needed.
Archive student records needed.
Minimum Qualifications
Associates degree.
Minimum of two years of experience in a customer service role in an office setting.
Minimum of two years of experience using Microsoft Office Suite including Word, Excel, and Outlook.
Minimum of two years of experience with data entry.
Ability to work under pressure and handle high-volume services.
Fluency in a regionally spoken language (ability to read, write, speak). Spanish preferred, Vietnamese, Korean, Chinese, and Russian.
Preferred Qualifications
- Bachelor’s degree
- Experience working in a college office environment preferably in Student Services.
- Experience with Washington State Community and Technical College and Student Management System or PeopleSoft.
- Experience in a student-related or student services capacity in an educational setting.
